Setting Up Microsoft Authenticator

This guide walks you through connecting the Microsoft Authenticator app to your account for multi-factor authentication (MFA) sign-in.

Before you start:

  • Download Microsoft Authenticator on your phone from the App Store (iPhone) or Google Play (Android)
  • Keep your phone nearby throughout the setup

Step 1: Start the security setup

Go to aka.ms/mfasetup and sign in with your account. You'll land on the "Let's secure your account" page.

Click Next to continue.

Step 2: Install Microsoft Authenticator

If you haven't already installed the app, do so now using the Google Play or App Store links.

Once the app is installed on your phone, click Next on the screen.

Already have the app installed? You can go straight to the next step.

Step 3: Set up your account in the app

On your desktop, you'll see instructions to configure your account in the app. Click Next to continue - then move over to your phone.

 

On your phone, open Microsoft Authenticator:

  1. Tap the + icon to add a new account
  2. Choose Work or school account

You'll then be asked how you want to add the account. Tap Scan QR code.

Step 4: Scan the QR code

Back on your desktop, a QR code will appear. Use your phone's camera (within the Authenticator scan screen) to scan it - this links the app to your account automatically.

Once the account has been added in the app, click Next on the desktop screen.

⚠️ Can't scan the code? Use the "Can't scan the QR code?" link to enter the connection details manually.

Step 5: Approve the test notification

Finally, a test notification is sent to your phone to confirm everything works.

On your desktop, you'll see a number (e.g. 55).

On your phone, a prompt will appear asking if you're trying to sign in. Enter the matching number and tap Yes.

Done!

Your account is now connected to Microsoft Authenticator. The account will appear in the app, where you can also generate one-time passcodes if needed.

From now on, you can approve sign-ins directly from the app on your phone — no password required.

Troubleshooting

Problem Solution
Not receiving the notification on your phone Check that your phone has an internet connection and that notifications are allowed for the app
Can't scan the QR code Use the manual entry link, or request a new QR code
The number in the app doesn't match Refresh the page and try again,  the code is time-limited

Contact IT support if you continue to have trouble with the setup.
